MEDICAL OFFICE CLERK – OBGYN

SITE OF SERVICE:

Mike O'Callaghan Military Medical Center (MOMMC), 99th Medical Treatment Facility, Nellis Air Force Base, Nevada

5601 Stafford Dr, Bldg 1301, Nellis AFB, NV 89191

HOURS:

Monday through Friday, 0730–1630. 40 hours per week. No on-call or weekend requirements.

The MTF observes installation training holidays and base down days. The contractor shall not be required to work on these days and will not receive additional compensation. Typically, Base Down Days are associated with major federal holidays: New Year's Day, Memorial Day, Independence Day, Thanksgiving, and Christmas. Contract personnel may be required to report to work on these days as directed by the Commander and department needs. Notification will be provided no less than one week in advance.

POSITION OVERVIEW:

The Medical Office Clerk provides front-desk and administrative support within the clinics at the Mike O'Callaghan Military Medical Center, Nellis Air Force Base, Nevada. Under a Defense Health Agency (DHA) personal services contract, this role ensures seamless patient access, scheduling, and medical records management for the 99th Medical Group's primary care mission. This position is well-suited for a detail-oriented administrative professional with experience in a clinical or military medical environment.

POSITION QUALIFICATIONS/REQUIREMENTS:

       Education: High school diploma or GED equivalent required. Medical terminology knowledge desired. Equivalency determination may be requested.

       Licensure: None required.

       Certification: Basic Life Support (BLS) certification required through the American Heart Association or American Red Cross. Computer-based training does not fulfill this requirement. Must maintain currency at no cost to the Government.

       Experience: At least twelve (12) months of experience in an office setting, preferably in a medical facility.

       Citizenship: U.S. citizenship required.

       Security: Must meet background investigation requirements applicable to the place of performance.

       Language: Professional proficiency in English required, both written and verbal. Minimum typing speed of 50 WPM required.

DUTIES:

       Greets patients/visitors at a front desk, information center or office setting.

       Answers main office phone line. Directs telephone calls to appropriate section for assistance. Takes messages as required.

       Arranges and schedules medical appointments and determines patient eligibility for services. Determine patient eligibility, schedule appointments, relay general instructions to patients, or make referrals to other sections.

       Obtains updates and files medical records as needed.

       Organizes and researches patient records, extract needed information, and review records for completeness, accuracy, and consistency within established guidelines.

       Ensures arrival of medical records prior to appointment(s).

       Initiates and locates patient medical records as needed.

       Obtains documentation as requested by healthcare providers (test results, or documentation not yet filed in records).

       Performs other administrative and clerical duties in support of the medical care and operational support.

       Creates appointment schedules and templates in patient appointment computer system.

       Conducts end-of-day process at close of business and resolves any delinquent or pending appointments in computer system.

       Liaison with local hospitals such as the Veterans Administration Southern Nevada Healthcare System and surrounding community hospitals. Ability to communicate orally and in writing with patients, and base organizations to coordinate base access etc., medical professional network and community resources, and TRICARE.

       Specific military systems include, but are not limited to: The MHS GENESIS, A ICD programs, government data repositories such as P2R2 Virtual Analyst, M2 Data Mart, Enterprise Data Warehouse (EDW), Population Health Operational Tracking and Optimization System, Defense Medical Logistics Standard Support (DMLSS), Medical Expense and Performance Reporting System, Third Part Collections, Defense Pharmacy System, Radiology and PACS, Automated Business Services System and Commanders’ Resource Integration System.

       MHS GENESIS

       Defense Enrollment Eligibility Reporting System (DEERS).

       Military Filing System – by sponsor social security, terminal digit order, color-coded and blocked filing system.

       Contents of a military medical record, layout, sections, and family members prefix designation, forms used in an MTF, and the medical record tracking procedures.

SPECIAL REQUIREMENTS/SKILLS:

Must possess working knowledge of MHS Genesis, DEERS, and related military health information systems including AHLTA, CHCS, P2R2 Virtual Analyst, M2 Data Mart, Enterprise Data Warehouse (EDW), DMLSS, and the military medical record filing system (terminal digit order, color-coded and blocked). Must demonstrate general medical ethics, excellent telephone etiquette, and strong customer service skills. Proficiency in Microsoft Office and Outlook required. Must be capable of communicating effectively both orally and in writing with patients, staff, and base organizations to coordinate medical services and base access.
